Updating Student Attendance

The Attendance tab group in the Student Profile provides several options for updating student attendance. You can modify or remove attendance for an entire day or for selected periods within a day. You may need to do this, for example, when a student was expected to be absent the entire day and was marked absent in advance, and then was able to return and attend class for several periods. You are able to remove absences for selected periods so the student is recorded as present for those periods.

Updating student attendance allows you to revise attendance details to ensure your records are up to date. We’ll begin by navigating to the Student Profile in the Student module. Let’s verify that we’re on the correct student. Under the Attendance tab group, we’ll choose the Selected Year sub-tab. We’ll open Pauline’s attendance record from October 4th. If we needed to modify the Type, Reason, or Comment fields for a specific period, we can do so at the bottom of the screen. For our example, Pauline’s guardian called in to inform us why she was out on October 4th, so we’ll be updating the entire record. We’ll use the field at the top of each column to specify the updated details. After entering the appropriate comment, we’ll click the green checkmark to apply the comment to all periods. Since Pauline’s guardians provided the details, we’ll check the Guardian Notified box to indicate that they are aware of the absence. If necessary, we could include an additional comment for the attendance record. Let’s click Save & Back. We’ll see the updated details display for October 4th. Now that you know how to update student attendance records, you can ensure the attendance counts will be accurate for each student.

  1. Select Menu > Administrative Access > Student.
  2. Select Student Profile under Features.

    Alternatively, you can navigate to Menu > Administrative Access > Attendance and then select Attendance Entry by Student under Features. Skip to step 7.

    Expected Result

    You see the Student Profile for the first student listed alphabetically in the entity or for the last student whose profile you had open.

  3. Begin entering the student's name in the Student search field near the top left of the screen.

    Students with similar names appear in a drop-down list. If necessary, continue entering more of the student's name until it appears in the list.

  4. Select the student from the drop-down list.

    You see the Student Profile for the student you selected.

  5. Select the Attendance tab group at the left of the screen.
  6. Select the Selected Year sub-tab.

    Alternatively, you could select the All Years sub-tab.

    If you choose the Selected Year sub-tab, you can view and modify attendance entered for the school year selected at the top left of the screen.

    If you choose the All Years sub-tab, you can view and modify attendance entered for all school years the student has been enrolled in the entity.

    You see the student attendance records attached to the student.

  7. Click the Open icon to the left of the record you wish to update.

    You see the General tab of the Student Attendance Details screen.

  8. Update the student's attendance as necessary.

    You can update the Attendance Type, Attendance Reason, and Comment for individual periods as needed. You can also update these fields en masse by entering values in the fields at the top of each column. Selecting a Type and Reason from the respective drop-down menus copies the values to all periods of the day. After entering the desired comment, you can click the Checkmark to copy the Comment to all periods of the day. You can also update the Guardian Notified box and enter a free-form Comment for the attendance record as necessary.

    If you need to update recorded attendance for a specific period, you can choose a new code from the drop-down list in the Type and Reason columns for the appropriate period.

    If necessary, you can delete the attendance record by clicking Delete Student Attendance at the top right of the screen.

  9. Choose one of the options near the top left of the screen to save your work.

    Save & Back Saves the updated attendance record and you return to the Selected Year sub-tab of the Attendance tab group of the Student Profile.
    Save Changes Saves the updated attendance record and you remain on the Student Attendance Details screen.
