Processing Fix Student Attendance When Enrollment is Updated

You may need to use the Fix Student Attendance utility when a student's attendance gets attached to the wrong calendar. This happens when a teacher has opened the Daily Attendance screen to take attendance and an enrollment status change is completed by an administrative user before the teacher saves attendance. The attendance record created through Teacher Access will be saved, but the calendar attached to the record will be the student's old calendar. Any subsequent teachers who try to record attendance through Teacher Access will receive an error message and the attendance will not save. This process updates the calendar attached to the record in the background of the database so that the student's records are accurate and subsequent attendance can be recorded.

Before you begin

  1. Select Menu > Administrative Access > Attendance.
  2. Select Attendance Entry by Student under Features.

    You see the Attendance Entry By Student screen.

  3. Under the Student Attendance heading, click the Open icon to the left of the student attendance record you wish to fix.

    You see the General tab of the Student Attendance Details screen.

  4. Click Fix Student Attendance near the top right of the screen.

    This option only displays if the calendar attached to the attendance record does not match the calendar attached to the student's enrollment record.

    Expected Result

    The process begins immediately and updates the calendar attached to the attendance record so it matches the calendar attached to the student's enrollment record. Once the process completes, the General tab of the Student Attendance Details screen refreshes, where the warning and Fix Student Attendance option no longer display.
