Report Run Options

You can run reports in multiple areas of the software. Once you run a report, the system has many options for you to generate the report data in your desired format.

Once you have run a report within the software, the system enables many options for you to choose from, which allows you to determine what you’d like to do with your report. For this example, we have just run the Employee List report and can see a list of all our current active employees. It’s important to note that this report has a Report Type of View/Print, which determines the additional options we will see in the top right of the screen. First, we see the Rerun Report option. This enables us to run this report again if we wanted to view the report with different parameters. This option is available for us to choose only when our report has been successfully processed. With the Cancel Report option, we can stop the report from running. For example, if we were running a large report but only needed to see the first few pages, we could select this option to stop the system from processing the remaining pages. It’s important to note that this option will become unavailable once the report has been fully processed. We could choose the View Query option if we wanted to view the parameters that were used to generate the results on the specific report. The Save Until option enables us to save this report until the specified date that’s configured within the System Configuration of the Reporting module. However, if we wanted to save these report results for longer than the date set, the Save Until date should be updated appropriately. We’ll click the More option to view the remaining options. We can choose to open or save this report as a .csv file by utilizing the Export to CSV option. This option is only available once the report has been fully processed. Similarly, the Export to XLSX option allows us to open or save this report as an .xlsx file. Again, this option is only available once our report has been successfully processed. We can choose to download this report and save it to a desired location as a specific file type, such as a .pdf or .zip file. If we wanted to create a .pdf file and print it, we could choose the Print option. When doing so, the .pdf version of the report will open in a separate screen, which will allow us to print it according to our browser settings. Lastly, the Run Report Specifications option enables us to generate a separate report that provides details about how the report we just ran was configured. This will include information regarding the prompts and sections included in the report. If we have chosen this option before, we’ll see the View Report Specifications option instead. Now that you know all about the options available after running a report, you can determine what you’d like to do with your report.

The table below lists the different options available once you generate a report with a Report Type of View/Print.

If you have selected any other Report Type, a screen appears prompting you to download the report in the selected format or run the report specifications.

Run OptionDescription
Rerun ReportEnables you to rerun the report with different parameters. The system opens the Run Report screen so you can enter new report prompts to generate new report data. While the report is running, this option is unavailable. This option is only available once the report is fully processed.
Cancel ReportEnables you to stop the report while it is running. For example, if this is a large report and you only need to view the first few pages, you could prevent the report from continuing to run. This option is only available while the report is running. Once the report is fully processed, this option becomes unavailable.
View QueryEnables you to view the parameters used to generate the report results.
Save UntilEnables you to save the report until the date you specify. This is based on the settings in the System Configuration of the Reporting module. If you elect to save the report results for longer than the default, the Save Until date should be updated.
Export to XLSXEnables you to open or save the report as a .xlsx file. While the report is running, this option is unavailable. This option is only available once the report is fully processed.
DownloadEnables you to download the report and save the report in the desired file type, such as PDF or ZIP. While the report is running, this option is unavailable. This option is only available once the report is fully processed.
PrintEnables you to create a PDF of the report in a new screen and print according to your browser settings. While the report is running, this option is unavailable. This option is only available once the report is fully processed.
Run Report SpecificationsEnables you to generate a report that provides details about how the report was configured, including information regarding the prompts and the sections included on the report. If you have previously run the report specifications, you see the View Report Specifications option instead.
Export to CSVEnables you to open or save the report as a .csv file. While the report is running, this option is unavailable. This option is only available once the report is fully processed and always displays under the List Options drop-down menu when you click the More option.
