Configuring Attendance Letter Templates

Configuring attendance letter templates enables you to choose which family members receive the letter, create a custom header that will be printed when attendance letters are generated, and choose to print a legend. You can then connect these templates to attendance letter thresholds.

Configuring attendance letter templates enables you to create custom headers to be printed on attendance letters when they’re generated. These templates can then be connected to attendance letter thresholds. Let’s navigate to the Entity Group Year Configuration setting within the Attendance module. We’ll select the Attendance Letter Templates tab and begin adding an attendance letter template. For our video, the Entities field defaults to the current entity we’re working in and cannot be updated. Let’s enter a description to further define this attendance letter template. We’ll leave the Default box checked since this will be the default attendance letter template. Let’s click Save. We see the Attendance Letter Template Details with the information we just configured display. We can define whether we want anyone who receives this letter, all families, or just the first family only to be able to print it. For our example, we’ll leave it as is. Additionally, we could also choose to sort each student’s information by certain criteria, such as if we wanted students to display by homeroom, then their name. In this case, we’ll also leave these options as is. Let’s select the Header tab to begin customizing our header. Under the Header Fields heading, we can choose what information we want displayed on our headers. The column fields default to 2 and we’ll leave them as is for this video. Within the first Field option, we want our students’ names to display. Let’s choose this option from the drop-down list. For the next Field option, let’s select Guardian Name. In the third Field option, we’ll choose to attach the student addresses. Under the Header Setup heading, we can determine if we want to print these headers to fit a windowed envelope. We’ll leave this unchecked for our example. If we have a logo that we want to attach, we can do so now within the Logo field. Next, we can configure how we want student names to be formatted. For this example, we’ll choose to have student names displayed as First Middle Last. Let’s select the same option for the Guardian Name Format field as well. We’ll leave the Advisor Name Format and Superintendent Name Format fields as is. Let’s click Save Changes to save our configurations. Under the Header Preview heading, we’ll see an example of how our headers will look based on our configurations. Lastly, let’s select the Legend tab. From here, we’ll specify that we want to print a legend on our attendance letter that displays the attendance type and reason. We can then save our changes to complete the process. Now that you know how to create attendance letter templates, you can ensure that you’re able to customize your attendance letter template headers to display the correct information.

  1. Select Menu > Administrative Access > Attendance.
  2. Select Entity Group Year Configuration under Settings.

    Alternatively, you can select District Year Configuration if you need to make the template available to multiple entities. Skip to step 4.

    You see the General tab of the Entity Group Year Configuration Details screen.

  3. Select the Attendance Letter Templates tab at the left of the screen.

    You see existing attendance letter templates.

  4. Click Add Attendance Letter Template near the top right of the screen.

    You see the Add Attendance Letter Template screen.

  5. Complete the appropriate fields.

    Required fields are identified with an asterisk. You must complete required fields before you can save your work.

    1. Verify the Entities or enter the correct entities if necessary.
      Step Information

      If you accessed the template from the Entity Group Year Configuration Details screen, the entity you are working in defaults and cannot be modified.

      If you accessed the template from the District Year Configuration Details screen, this defaults to include all entities, but you can limit which entities the template is available to if necessary.

    2. Enter a Description to define the template.
    3. Check the box for Default if appropriate.
      Step Information
      Only one template may be flagged as the default within a specific District. The default template is automatically selected when you create an attendance threshold in any of the entities the default template is available to.
  6. Click Save near the top left of the screen to save your work.
    Expected Result

    You see the General tab of the Attendance Letter Template Details screen, which displays the details of the template you created.

  7. Under the Attendance Letter Template Details heading, choose the appropriate Family Print Option from the drop-down list.

    This defaults from the information entered on the attendance letter template, but can be modified if necessary.

  8. Under the Student Sort Information heading, indicate how you wish to sort the attendance letter templates for students in the available fields.

    The Student Sort 1 defaults to Student Name, but can be modified if necessary.

    For example, if you distribute attendance letters by Homeroom, you could select Homeroom as the Student Sort 1 option, and Student Name as the Student Sort 2.

  9. Click Save Changes near the top left of the screen to save your work.

    You remain on the General tab of the Attendance Letter Template Details screen.

  10. Select the Header tab at the left of the screen.
    Expected Result

    You see details to configure the header.

  11. Note: To refresh the header preview, you can click Save Changes near the top left of the screen as you make changes to the header fields and header setup.
    Under the Header Fields heading, choose the appropriate number of Columns from the drop-down list.

    This defaults to 2, but can be modified if necessary.

    Expected Result

    If you selected 1, the second set of fields for Field, Label Override, and Freeform are removed.

  12. Choose the appropriate Field from the drop-down list.

    There are a variety of fields you can add to the attendance letter template you are configuring. For example, if you want to print the date the attendance letter is generated, you would select Current Date. If you want to print the date entered in the Date field when the attendance letter is generated, you would select Run Date.

    Expected Result

    If you selected None, the Label Override and Freeform fields are disabled. Skip to step 18. You can repeat steps 15 - 17 if you wish to create multiple header fields.

    If you selected Current Date, Run Date, Entity Code, Entity Description, School Phone Number, Guardian Address, Guardian Name, Guardian Phone, Date of Birth, Grade Level, Homeroom Number, Student Address, Student Name, Student Number, Advisor Name, or Superintendent Name, only the Label Override field is available. Continue to the next step.

    If you selected Freeform, the Label Override and Freeform fields are enabled. Continue to the next step.

  13. Enter a Label Override if appropriate.

    For example, you could enter Student ID as a label override for the Student Number field.

    If you selected Freeform as the Field, continue to the next step.

    If you selected anything other than Freeform as the Field, skip to step 18. You can repeat steps 15 - 17 if you wish to create multiple header fields.

  14. Enter a Freeform value if appropriate.

    You can repeat steps 15 - 17 if you wish to create multiple header fields.

  15. Under the Header Setup heading, check the box for Print for Windowed Envelope if appropriate.

    When checked, the attendance letter will include the name and address information in a location on the page so it can display in the windowed area of an envelope when folded. The system is formatted for the Standard #10 window envelope, with measurements of 4 1/8 x 9 1/2 inches.

  16. Enter a Logo or click the Down Arrow icon to choose from the drop-down list, if appropriate.
  17. Choose the Student Name Format from the drop-down list.
  18. Choose the Guardian Name Format from the drop-down list.
  19. Choose the Advisor Name Format from the drop-down list.
  20. Choose the Superintendent Name Format from the drop-down list.
  21. Click Save Changes near the top left of the screen to save your work.
    Expected Result

    You remain on the Header tab of the Attendance Letter Template Details screen.

  22. Select the Legend tab at the left of the screen.
    Expected Result

    You see details to configure the legend.

  23. Check the box for Print Legend if appropriate.
    Expected Result

    If you checked the box, the Legend Location, Show Free Form Legend, Show Attendance Type Legend, and Show Attendance Reason Legend fields display. Continue to the next step.

    If you did not check this box, no further steps are required.

  24. Choose the Legend Location from the drop-down list.
  25. Check the box for Show Free Form Legend if appropriate. If you checked the box, enter the Free Form Legend if appropriate.
  26. Check the box for Show Attendance Type Legend if appropriate.
  27. Check the box for Show Attendance Reason Legend if appropriate.
  28. Choose one of the options near the top left of the screen to save your work.
