Recorded/Unrecorded Class Attendance

The Recorded / Unrecorded Class Attendance option gives office staff an easy way to determine whether or not attendance has been taken by teachers for scheduled classes. For example, you might want to check whether teachers have recorded attendance for period 4. You can check either during the period or after it is finished.

As the administrator of your organization, you need a way to keep teachers accountable for maintaining accurate attendance records. The Recorded / Unrecorded Class Attendance feature allows you to identify the classes that have yet to record attendance for the current day, so you can remind those teachers who have not taken attendance to get their records submitted. Let’s begin by navigating to the Recorded / Unrecorded Class Attendance feature within the Attendance module. We’ll notice how the Filter is set to Today’s Sections. With this filter selected, it allows us to view which teachers have taken attendance and which have not taken attendance for today, which is indicated in the Attendance Taken column. We can identify which teachers have taken attendance if the checkboxes are checked. If a teacher has not taken attendance the checkbox will remain unchecked. We also have the option to add user filters to customize how the Recorded / Unrecorded Class Attendance screen will display. For this example, we’ll add a filter to show all unrecorded attendance records for the month of October. We can give this filter a name of Unrecorded. Let’s choose the Selection radio button for the Attendance Taken row. This will allow us to filter on this column. We’ll select False to indicate that we want unrecorded attendance records to display when this filter is selected. We’ll choose the Range radio button for the Date row and specify the start and end dates for the month of October. We could continue to build this filter by selecting the icons next to the calendar icons. This will display the Select Relative Date pop-up. Let’s save this filter. With the Unrecorded filter selected, we can now see all the unrecorded attendance records from the month of October. We can adjust the columns of data to better fit our needs. For example, if we wanted to see the data sorted by staff name rather than display period, we could click the Staff Name column to update the sort. Let’s go back to the Filter and select Today’s Sections. Since we previously updated the sort to Staff Name, we’ll also reset the View to be Skyward Default. We can mark an attendance record for a class as taken by utilizing the drop-down icon and selecting Mark Attendance Taken. This will then move this specific record down to the bottom of the list and the Attendance Taken checkbox will be checked. If attendance for a course was incorrectly marked as taken, we can select that drop-down icon again, and click Remove Attendance Taken. This will revert the record back to its original place on the list and the Attendance Taken checkbox will be unchecked. If we wanted, we could select the More option to add this Recorded / Unrecorded Class Attendance screen as a live tile to our dashboard. We have the option to add this screen as a chart tile to our dashboard as well. We can refer back to the Recorded / Unrecorded Class Attendance screen as many times as necessary. You can view class attendance by navigating to Menu > Administrative Access > Attendance and selecting Recorded / Unrecorded Class Attendance under Features. You must be working in a specific entity to see the Recorded / Unrecorded Class Attendance feature.

The Recorded / Unrecorded Class Attendance screen displays information for class sections scheduled to meet on the current day. If a checkmark appears in the Attendance Taken column, attendance has been recorded by the teacher for that date for the indicated class. If necessary, you can update the value in the Attendance Taken column. For example, if a teacher is gone but the substitute teacher sent paper attendance to the office, you can update the record for the class by clicking the drop-down icon to the left of the record and selecting Mark Attendance Taken from the Record Options drop-down menu. This indicates attendance was recorded and checks the box in the Attendance Taken column. If necessary, you can also remove the checkmark by clicking the drop-down icon to the left of the record and selecting Remove Attendance Taken from the Record Options drop-down menu. Removing the checkmark in the Attendance Taken column does not remove any student attendance records that were created for the class.

You can change the sort order of the display by clicking any of the column headings: Attendance Taken, Date, Display Period Code, Staff Name, Course, and Section Code. For example, if you click the Display Period Code heading, information will be sorted by display period first.
