Configuring Absence Requests for Family Access

The Family/Student Access Configuration screen of the Portal Access module enables you to set up guardians to be able to submit absence requests in Family Access, as well as determine what fields the guardians must complete. When absence requests are enabled, guardians can enter these requests for their children viaFamily Access instead of calling the school to enter an absence request on their behalf. For example, if a child will be out sick for the day, or if a child will be gone due to a family vacation, a guardian can enter an absence request to indicate these details. Absence requests that are submitted by guardians are approved administratively.

To save guardians time from being required to call the school to enter their student’s absence request, you can configure absence requests to allow guardians to submit them right from Family Access. You can determine what fields guardians need to complete when filling out an absence request. Let’s begin the process by heading over to the Family/Student Access Configuration screen within the Portal Access module. After selecting the Attendance tab, we can check the box for Allow Absence Requests if we want guardians to be able to submit absence requests in Family Access. Once checked, we’ll see additional fields display. We can then determine if we want to require guardians to enter an attendance reason when filling out an absence request. Additionally, we could require guardians to enter a comment for the absence request if we’d like. The Only Allow Custodial Guardian to Submit box can be checked if only custodial guardians should be able to enter absence requests in Family Access. If we wanted to allow guardians to enter or update any past absences, we could check the corresponding box. Additional fields populate and we can indicate how many days guardians will be allowed to create or update a past absence. We can then determine the Day Count Type. We’ll select School so guardians can update or add absence requests for previous school days. For our example, this means that guardians can go back five school days to update or add absence requests. Once finished, we’ll save our changes. Since we’ve specified that attendance reasons are required, we’ll select the attendance reasons that should be given for guardians to use. Let’s save. Now, let’s see what this configuration looks like within Family Access. If we select the Attendance tile, we’ll see that we have the option to enter in absence requests. Now that you know how to configure absence requests, you can be sure that guardians will be able to quickly enter absence requests within Family Access.

  1. Select Menu > Administrative Access > Portal Access.
  2. Select Family/Student Access Configuration under Settings.

    You see the Family Access tab of the Family/Student Access Configuration screen.

  3. Select the Attendance tab at the left of the screen.

    You see the attendance settings that can be configured for the Family Access portal.

  4. Under the Family Access Attendance heading, check the box for Allow Absence Requests.

    This enables guardians in Family Access to enter absence requests for their children. You would only leave this box unchecked if you do not wish to allow guardians to enter absence requests in Family Access.

    Expected Result

    When checked, the Require Attendance Reason, Require Comment, Only Allow Custodial Guardian to Submit, and Allow Requests for Past Dates fields display, as well as the Attendance Reasons area.

  5. Check or uncheck the box for Require Attendance Reason as necessary.

    When checked, guardians must enter an Attendance Reason when filling out an absence request in Family Access. If you check this box, you must also identify the attendance reasons that are available for selection in Family Access under the Attendance Reasons heading.
  6. Check or uncheck the box for Require Comment as necessary.

    When checked, guardians must enter a comment when filling out an absence request in Family Access.

  7. Check or uncheck the box for Only Allow Custodial Guardian to Submit as necessary.

    When checked, only guardians who have the Custodial Guardian box checked on the Student Profile are able to submit absence requests in Family Access.
  8. Check or uncheck the box for Allow Requests for Past Dates as necessary.

    When checked, guardians are able to create or update absence requests for past dates.

    Expected Result

    If you checked the box, the Number of Past Days To Allow and Day Count Type fields display. Continue to the next step.

    If you did not check the box, skip to step 11.

  9. Enter the Number of Past Days To Allow value.
    Step Information

    This value indicates the number of past days a guardian is allowed to create or update an absence request. For example, if you enter 5, a guardian is able to create or update an absence request five days before the current date.

  10. Choose the Day Count Type from the drop-down list.

    If you select Calendar, the system will look at previous calendar days to allow requests for. This day count includes weekends.

  11. Click Save Changes near the top left of the screen to save your work.

    You should only click Save & Back if you wish to continue configuring the attendance setup at a later time.

    Expected Result

    You remain on the Attendance tab of the Family/Student Access Configuration screen, which displays the changes you made.

    If you checked the box for Require Attendance Reason, continue to the next step.

    If you did not check the box for Require Attendance Reason, no further steps are required.

  12. Under the Attendance Reasons heading, click the Select Attendance Reasons option near the right of the screen.

    You see the Select Attendance Reasons screen.

  13. Check the box to the left of each attendance reason you wish to make available for guardians entering absence requests in Family Access.

    You can check the box at the top of the Select column to check or uncheck all attendance reasons.

  14. Click Save near the top left of the screen to save your work.

    You return to the Attendance tab of the Family/Student Access Configurationscreen, which displays the attendance reasons you selected.
