Printing/Exporting Blank Gradesheet

Through the Gradebook module, you are able to print or export Gradesheets for individual classes. Printing gradesheets is useful when you want a hard copy, or you are away from your computer. For example, a physical education teacher may want to print a class roster or print a hard copy for recording class scores for an outdoor activity. The scores can then be easily transferred into the software when the teacher is back at the computer.

Printing or exporting gradesheets for individual classes allows you to have a hard copy, such as if you’re away from your desk and need to record class scores for an outdoor activity. Within Teacher Access, let’s begin the process by heading over to the Gradesheet within the Gradebook module. If we’re automatically taken to a specific class, we could use the Class List option to choose the class we want to view the gradesheet for. From here, we can print or export a blank gradesheet. We’ll then be able to configure what information we want to display. We can determine which student columns we want to include on our gradesheet. For this example, we want all columns to display, so let’s update that. The Print Only Options allow us to further determine what displays on our gradesheet if we choose to print, rather than export. For this example, we’ll be printing our gradesheet. Let’s indicate we want to include class details on our gradesheet. We can then choose the number of assignment columns to print, as well as the column width and row height. Once we’ve verified all our information is correct, let’s view a preview of how our gradesheet will look when printed. If we're satisfied with the results, we can click Print or Download. If we select Print, we’ll be able to specify our settings to print a hard copy of this gradesheet. If we select Download, it will download as a PDF. Now that you know how to print or export a blank gradesheet, you can be sure that recording class scores is a simple process, even on the go.

  1. Select Menu > Teacher Access > Gradebook.
  2. Select Gradesheet under Features.
    If you have not opened a Gradesheet in your current session, you see the Gradebook Class List, which displays a tile containing class information for each class you teach.

    If you have already opened a gradesheet in your current session, you return to the most recently opened gradesheet.

    To select a different class, click Class List near the top right of the screen.

  3. Verify you are in the correct school year by checking the information near the top left of the screen.
  4. Select the tile for the class where you would like to print or export a blank gradesheet.
  5. Click More near the top right of the screen.

    You see the List Options drop-down menu.

  6. Select Print/Export Blank Gradesheet from the menu.

    You see the Print/Export Blank Gradesheet Options window.

  7. Complete the appropriate fields.

    The fields on this screen allow you to customize the information that will display on your printed or exported gradesheet.

    1. Check the box for Class Details (Print Only) if appropriate.

      Class details include information such as Teacher, School Year, Period, Course, and Room #. This information will not display in the export file, even if the box is checked.

    2. Check the box for Student Indicators (Print/Export) if appropriate.

      For example, you might choose to include this information if you are using the printed copy of the gradesheet when taking your class outdoors. By doing this, you have access to any health indicators for allergies.

    3. Check the box for Student Name Display (Print/Export) if appropriate.

      For example, you might choose to exclude student names so that other students cannot identify whose grades they are looking at if they find the hard copy of your gradesheet.

    4. Check the box for Student Grade Levels (Print/Export) if appropriate.

      For example, you might choose to exclude the student grade levels if grade levels do not pertain to the information you are recording on the hard copy of your gradesheet. Alternatively, if each grade level in your class has a different expectation for the assignments or scores, you might choose to include this information.

    5. Check the box for Student Numbers (Print/Export) if appropriate.

      For example, if you use the student number to identify your students when recording grades, you might choose to include this information.

    6. Enter a value in the # of Assignment Columns (Print Only) field if appropriate.

      This number indicates the number of blank columns that will be included for entering scores when you print the gradesheet.

    7. Select the appropriate radio button for Column Width (Print Only).

      You can click Print Preview near the bottom right of the window to see how this alters the appearance of the gradesheet. After you are done previewing, you must click Close near the bottom right to exit the pop-up window.

    8. Select the appropriate radio button for Row Height (Print Only).

      You can click Print Preview near the bottom right of the window to see how this alters the appearance of the gradesheet. After you are done previewing, you must click Close near the bottom right to exit the pop-up window.

      If you intend to export the gradesheet, continue to the next step.

      If you intend to print the gradesheet, skip to step 11.

  8. Click Export Preview to preview your blank gradesheet.

    You see the Blank Gradesheet Export Preview window.

  9. Click Export near the bottom of the screen to export the blank gradesheet.

    The download process begins immediately.

  10. Follow your organization's procedures for downloading and saving documents to save the gradesheet.

    Skip to step 16.

  11. Click Print Preview near the bottom of the screen to print the blank gradesheet.

    If you wish to print the gradesheet continue to the next step. If you wish to download a copy of the gradesheet, skip to step 14.

    You see the Print Blank Gradesheet Options screen.

  12. Click Print near the bottom of the screen to print the blank gradesheet.

    You see a new browser window open, which displays a PDF of the gradesheet to print.

  13. Follow your organization's procedures for printing to print the blank gradesheet.

    Skip to step 16.

  14. Click Download near the bottom of the screen to download the blank gradesheet.

    The download process begins immediately.

  15. Follow your organization's procedures for downloading and saving documents.
  16. Click Close near the bottom right of the window.

    You return to the Gradesheet.
